Accommodation

What do I need to bring with me?

If you are staying in any of our accommodation in Gloucester you will need to bring crockery, cutlery & utensils, pots & pans, duvet, pillows, bed linen, towels and an iron with you as they are not provided.

Our accommodation in Cheltenham is fully furnished including crockery, cutlery & utensils, microwave, iron, kettle, vacuum cleaner etc.  All rooms are provided with one set of bed linen, and laundry change weekly.

Can I bring my car?

You may bring your car with you to Gloucestershire if you wish BUT, with the exception of 5th years staying at Roebuck House or 4th years staying at Sandford Mill Road, none of our other accommodation has parking.

If you bring your car you can apply for a Trust  parking permit, which allows you to park at the multi storey car park at Gloucestershire Royal or in standard user parking spaces at Cheltenham General Hospitals for 70p per day and/or you can apply for a resident parking permit through Gloucestershire County Council at: http://www.gloucestershire.gov.uk/residentparking

All of our accommodation is less than a 15 minute walk from either Gloucestershire Royal or Cheltenham General Hospitals.

Where do I collect my keys from and return them to when I leave?

Keys for accommodation in Gloucester (with the exception of Discovery House *) can be collected from A&E reception at Gloucestershire Royal Hospital (GRH) on the day of your arrival (from 4.30pm Monday-Friday and from 2.00pm on Sunday – 24 hour access).

Gloucester accommodation keys MUST be returned in person to A&E reception GRH by 8.30am on the morning you vacate the accommodation so we can prepare for new arrivals.  Late return of accommodation keys will result in a charge being made.

* If you are staying in Discovery House you will have been notified of the alternative arrangements for this property.

Keys for accommodation in Cheltenham can be collected from A&E reception at Cheltenham General Hospital (CGH) on the day of your arrival (from 4.30pm Monday-Friday and from 2.00pm on Sunday – 24 hour access).  They must be returned in person to A&E reception CGH by 8.30am on the morning you vacate the accommodation so we can prepare for new arrivals.

PLEASE NOTE: Posting your accommodation keys to us after you have left Gloucestershire is not acceptable.

What if I don't require accommodation?

Please let us know ASAP if you will not be needing accommodation whilst on placement with Gloucestershire Academy.

We have to let our accommodation providers know in advance of your arrival and if they prepare a room for you and you don’t arrive we are charged a fee, which we pass on to the student.

How should I report problems with the accommodation?

There are notices on display in your accommodation and information contained within your accommodation handbooks about how to report maintenance problems (Gloucester properties via Room Repairs Lite on your internet service and Cheltenham properties via Spectrum Western Challenge).

If you notice any maintenance issues please report them immediately and ensure you state the property you are living in along with your flat and room number.

In an emergency situation ie., flood, for Gloucester properties call (01452) 886186 and for Cheltenham properties call 0800 7837837.

I have received a tenancy agreement, what should I do?

When you collect your keys for your accommodation you will receive a tenancy agreement.  Please sign and return as instructed or return to the Undergraduate Office.

This is a legal requirement but do not worry if it refers to rent amounts etc., as all accommodation costs (with the exception of recharges for damages) are covered by Gloucestershire Academy.

Are there laundry facilities at the accommodation?

If you are staying at Roebuck House in Gloucester there are coin operated washing machines and dryers in the communal spaces on the first floor at the front of the building for medical students living at this property.  In Cheltenham there are communal washing machines and dryers available for your use on the ground floor of Caduceus House and washing machines at both properties on Sandford Mill Road.

None of our other accommodation has laundry facilities on-site but the nearest launderettes to each property are listed below:-

The quickest way to get there on foot would be to leave your accommodation turning left onto Montpellier.  At the junction turn right onto Park Road.  Take the 2nd turning on your left into Wellington Street.  At the end of the road turn right onto Eastgate Street.  Soap ‘n’ Suds can be found a little way along on your right hand side (opposite Liquid Nightclub).

The quickest way to get there on foot would be to leave your accommodation and turn left into Blackfriars (between the accommodation and Prezzo).  At the end of the lane turn right into Ladybellegate Street and then left into Longsmith Street.  Take the 2nd turning on your right into Upper Quay Street.  At the junction turn left onto Westgate Street.  The Laundry Centre can be located a little way ahead on your right hand side (opposite Nicki’s Taverna).

I cannot connect to the internet at my accommodation, what should I do?

In Gloucester all of our accommodation internet access is provided by StudentCom.  There should be a StudentCom troubleshooting step-by-step guide in your flat which lists things you should check if you are having difficulties connecting.  If you are still experiencing problems please log a call using the telephone numbers or the email address listed.

It is advisable that if you enter into email correspondence with StudentCom that you copy Jo Goscomb, Markey Accommodation Manager into any such correspondence (jo.goscomb@moveinwithmarkey.co.uk).

In Cheltenham our accommodation internet access is provided by BT.  There is information in each flat about how to resolve internet access problems.  If you are still experiencing difficulties please contact Spectrum Western Challenge on 01452 397640 during office hours and also let the Undergraduate Office know if problems are not resolved promptly.

Guide to living in Gloucestershire Academy accommodation

You can live in Gloucestershire Academy student accommodation only if you abide by the rules and regulations on display in each property and we suggest that you familiarise yourselves with these rules and regulations immediately on your arrival.

The properties will be inspected before your arrival and on the day that you vacate them and the academy will be notified of any loss or damages, which you are liable for.  Please refer to list of Markey charges in your Markey accommodation handbooks.

Meanwhile Gloucestershire Academy, in conjunction with University of Bristol and their guidelines for misconduct in student residences, may in addition impose one or more of the following penalties:

(a)   A written reprimand.
(b)   A fine (not exceeding £100).
(c)   Termination of your signed agreement resulting in immediate eviction.

We believe that we offer some of the best student accommodation anywhere within the Medical School.  Please help us to continue to do so.

Is there anything else I need to know about my accommodation?
If you are living at Discovery House in Gloucester there is a Saniflow system that runs the water systems to both bathrooms and kitchens in some flats, which is powered by electricity.  Please ensure you read all notices on display in your flats regarding ‘Saniflow do’s and don’ts’, particularly regarding items you should not flush down the toilets that the Saniflow system cannot cope with, resulting in blockages and charges being made for repair.  In the event of a power failure (when Saniflow systems will be inoperable) a key can be found in the kitchen drawers of all the flats for you to gain access to the communal toilets at the property.  Please note that these keys should only be used under those circumstances.

Bin Stores at properties in Gloucester can be located as follows:-

Formal Place – Down the alleyway between the accommodation and Prezzo.  2nd set of doors on your left. Door entry code can be obtained via Undergraduate Office.
Discovery House – Enter front door to building, straight ahead and through 2nd door on your right.
Henley Court – To the right of the main door to the building through wooden gate marked household waste.
Roebuck – In the covered parking area at the property – all flats have a key for access hanging on a hook inside the main flat door.

Hoovers have been provided for your use at all properties in Gloucester and Cheltenham and we would encourage you to hoover your flats regularly during your stay.  Please ensure when you have used the hoovers they are left in communal landing spaces so that periodic routine maintenance can be performed.

Who should I report sickness absence to?

In the first instance for any unplanned absence please ring or email (before 9.30am on the day) the Undergraduate Office at Gloucestershire Academy on: 08454 22 6233 or email Undergraduate.Department@glos.nhs.uk.  We will notify your Unit Coordinator/Unit Tutor in Gloucestershire.

Please state your name, year, phone number, reason for absence and length of time likely to be off. You must also contact your Year Coordinator at Bristol (see below):-

Absences on health grounds over 5 days must be accompanied by a medical certificate.

Request for Leave in Advance

Requests for leave should be submitted in advance to Academy Medical Dean (for Academy based teaching) via Undergraduate Office at Gloucestershire Academy.  Email: Undergraduate.Department@glos.nhs.uk giving information below:-

  • Name & Student Number
  • Year of Study
  • Reason for leave
  • Date of leave (from – to), no of days
  • Detail of teaching missed
  • How will you make up this teaching time
  • How many days leave (including illness) already taken in academic year
  • Attach any evidence or note any evidence that can be supplied

Notes for Students

– A request for leave will not be granted for more than two weeks in any Unit as an absolute maximum.

– Requests for leave on health grounds over 5 days must be accompanied by a medical certificate.

– You should minimise time off particularly during clinical Units.

Clinical Students: Absences during the clinical years are likely to have a more serious impact on your learning than absences during pre clinical teaching.  There may also be particular weeks/days where it is your only opportunity to receive teaching/experience in particular specialties. If your absence is not on health grounds or for a critical personal problem you should take this into consideration.

Please note that if you take a long period of leave during a Unit, and then also have to take time off for illness, you may fail the Unit due to non attendance.

Requests for leave during external SSC Units: SSC Co-ordinator – via Year 3 or 5 Year Co-ordinator at Bristol.

Requests for leave during any other teaching: Programme Director via relevant Year Co-ordinator at Bristol.

Please note leave of 4 days and over will need to be countersigned by the Programme Director Student Affairs, please allow time for this to happen.

The Programme Directors (Student Affairs) will follow-up on the welfare of any student who has had substantial time off.  If you are refused a leave of absence you may ‘appeal’ to the Academy Dean via your Year Co-ordinator at the Centre for Medical Education.

Evidence may be requested particularly for longer leave requests or if you have already had long periods of absence.

I need to see a GP, can I see one in Gloucestershire?

Whilst on placement in Gloucestershire if you need to see a GP you can register as a temporary resident at the following practices:-

Please note you will need to provide proof of your address.  Please use your copy of the tenancy agreement contained within your key pack.

I need to see an emergency dentist, can I see one in Gloucestershire?
